Office Refresh in India: The Complete Guide

By Officea Design & Build. 16 October 2026.

What is an office refresh?

An office refresh renews the look, comfort and condition of an existing office without rebuilding it. The layout, walls and main services stay; the surfaces, fittings and details change.

A refresh is planned around the people already working there. Typical work includes repainting, new flooring, lighting upgrades, ceiling and wall repairs, furniture repair or replacement, washroom and pantry upgrades, and branding. It is the middle option between doing nothing and a full fit-out, and it is the right choice when the space still works but looks and feels tired.

How is an office refresh different from a renovation or a full fit-out?

A refresh keeps the layout and services. A renovation or fit-out rebuilds walls, ceilings and services, and usually needs the floor to be vacated.

Renovation and fit-out work needs drawings, approvals and a dedicated project period. A refresh is scoped by area, is quoted after a site walk-through, and is done in phases. If a few rooms need to change, a light layout change such as an extra meeting room, pantry or cabins can sit inside a refresh. Officea REFRESH offers this as the Reboot package. The detailed comparison is in our article Office refresh or full fit-out: which do you need?

What does an office refresh include?

A refresh covers the ten areas of an office that the Officea Office Health Audit checks, from safety papers to visitor experience.

The areas are: safety and statutory papers; air, light and comfort; cleanliness and hygiene; power, network and IT; space planning; finishes and condition; maintenance and records; washrooms and pantry; accessibility and wellbeing; and visitor experience. A refresh does not have to touch all ten. The audit shows which areas are healthy and which need work, so the scope covers only what the office needs.

How do you know it is time for a refresh?

The common signs are worn finishes, poor lighting, tired washrooms and pantry, an outdated look, or a team that has outgrown part of the space.

Other signs are repairs that keep recurring, visitors forming a weak first impression, a lease renewal coming up, or a recent change in headcount or working pattern. Many offices have no written record of their condition, which makes the decision a guess. The six-area checklist in our article on the Office Health Audit helps you check this yourself.

Where should an office refresh start?

It should start with evidence: an audit of the office as it is today, not a list of wishes.

The Officea Office Health Audit is a site visit with 90 checks across ten areas. An auditor inspects, photographs and measures light levels with a lux meter, and checks papers such as the fire licence, test reports and service records. Each check is scored 2 for Yes with proof, 1 for Partly and 0 for No, and the office receives one score out of 100 with a written report. Our auditors work independently of the repair team and score only what they find. The audit is complimentary. How it works is explained in What is an Office Health Audit?

Is the Officea rating an official certificate?

No. It is a private rating by Officea, not a statutory approval, and it does not replace fire, electrical or other statutory certificates.

No Indian law creates a licence for a private office audit, so we say this plainly. The rating shows the condition of the office on the audit date, with the score, tier, audit date and auditor name. The full method and the standards it refers to are on the Officea REFRESH methodology page, and the question of who certifies what is answered in Who certifies an office health audit?

Can an office refresh be done while staff keep working?

Yes. Phasing the work by area and doing noisy or dusty tasks after hours or on weekends keeps teams working.

The plan fixes which zone is worked on and when, protects floors and furniture, and keeps walkways, exits and washrooms usable. A written schedule is shared before work starts. The practical method is in How to refresh an office without stopping work, and the reasons it needs planning are in Why refreshing an occupied office is hard.

How long does an office refresh take?

It depends on the area and the scope, so the schedule is fixed only after a site walk-through.

A refresh of a few zones is shorter than a whole-floor programme. What moves the timeline: the floor area, the number of zones, the finishes chosen, lead times for flooring, lighting or furniture, and the working hours allowed by the building. Officea REFRESH gives one written schedule with the quote, so you know the dates before you approve.

How much does an office refresh cost?

The cost depends on the area, the finish level, the condition of the premises and the scope, so there is no single figure that fits every office.

A refresh costs less than a full fit-out because walls and services stay in place. Cost drivers are the floor area, the amount of repair needed before finishing, the flooring and lighting chosen, furniture replaced or repaired, and whether after-hours working is required. Officea REFRESH gives one written quote after the walk-through, against the audit report, so the scope and price match the findings.

Can a refresh include changes to the layout?

Yes, within limits. Light changes such as a meeting room, pantry or cabins can be added without rebuilding the floor.

If the change affects only a few rooms and does not need new electrical or cooling capacity, it can stay inside a refresh. If the way the whole team works has changed, a renovation may suit better. The audit report shows which path fits, and our article Repair, refresh or relocate explains the choice.

How do light, air and sound affect a refresh?

They decide how an office feels to work in, so they are checked and measured, not guessed.

Light is measured with a lux meter. Air-conditioning and ventilation are checked for working condition and comfort. Noise is checked in meeting areas and open workspaces. These checks sit in the air, light and comfort area of the audit, and fixing them often improves an office more than a new finish does.

How can a refresh reflect your brand?

Through finishes, colour, signage, reception and graphics, applied within the existing layout.

A branded reception, wall graphics, signage and a consistent colour palette change how visitors and staff see the office at low cost. The visitor experience area of the audit checks the first impression, wayfinding and the waiting area, so branding work starts from what visitors actually see.

Can a refresh be sustainable?

Yes. Repairing and reusing before replacing reduces waste and cost.

Furniture that can be repaired, repolished or reupholstered can stay. Flooring and fittings are replaced only where the audit finds a real fault. Waste from the work is handled and removed as part of the plan, in line with the Solid Waste Management Rules 2026 that came into force on 1 April 2026.

What permissions does a refresh need?

It depends on the work and the building. Cosmetic work usually needs the building owner or society to be informed; changes to fire safety, structure or services may need permission and approvals.

Fire rules are a state subject in India, and each building has its own fit-out guidelines and working-hour rules. Officea checks the building's requirements before work starts. This guide is general information and not legal advice.

How should you tell staff about a refresh?

Tell them early, in writing, with the schedule and the zones affected.

A short note that says what will change, when each zone is affected, where people will sit and who to contact keeps disruption low. A named contact on the project team answers questions during the work.

How do you measure whether a refresh worked?

Re-run the audit and compare the score. We suggest a re-audit every 12 months.

The score before and after shows what improved, and the report shows what still needs attention. How often to refresh is covered in How often should a company refresh its office? The re-audit also gives a dated record of the office condition.

Is an office refresh different in Delhi NCR and Bangalore?

The method is the same, but buildings differ, so each plan is built around the specific building and its rules.
