Short answer
A typical office fit-out in India takes roughly 6 to 16 weeks on site, depending on size, MEP scope and approvals. Design, approvals and long-lead orders can add several weeks before that. To finish within a rent-free period, start design before you sign the lease, order long-lead items early and use one design-and-build team so design, MEP and civil work overlap.

Why timelines matter more this quarter
Office leasing reports for July to September 2026 show that leasing across India's main cities passed 50 million sq ft in the first nine months of the year. New Grade A supply was strong, rents were rising in most top markets, and GCCs and flexible workspace operators were among the most active occupiers. Hyderabad, Bengaluru and Delhi NCR were among the leading markets by volume.
For occupiers, this means two things. Many leases signed in the last few months now have fit-out periods running, and the best contractors and long-lead materials are in demand. A delayed project means paying rent on an office you cannot use while also paying for the space you are leaving. Planning the timeline properly is now a cost decision, not just an operational one.
Key terms, defined
- Rent-free fit-out period: the time after handover of the space during which the tenant does not pay rent, so the office can be built. In India it is negotiated per lease. Legal commentary describes ranges from about three months to a year depending on the deal. Maintenance (CAM) charges may or may not be waived, so check your lease.
- Bare shell / warm shell: bare shell is an empty floor with core services only. Warm shell usually includes some finishes, base HVAC, lighting or ceiling.
- Long-lead items: materials or equipment with long delivery times, such as HVAC units, imported furniture, specialised glass, acoustic panels and some lighting.
- Critical path: the chain of tasks that sets the earliest finish date. A delay on any of them delays the whole project.
- Design and build (turnkey): one company handles design, approvals, civil, MEP, furniture and handover under a single contract.
Phase-by-phase timeline (indicative)
These ranges reflect typical Indian office projects with standard specifications. Your project may be faster or slower depending on site conditions, building rules, approvals and specification.
| Phase | Up to 5,000 sq ft | 5,000–20,000 sq ft | 20,000–50,000 sq ft |
|---|---|---|---|
| Requirement brief, site survey and test fit | 1 week | 1–2 weeks | 2–3 weeks |
| Concept design, budget and approval | 1–2 weeks | 2–3 weeks | 3–4 weeks |
| Detailed design, MEP drawings, BOQ | 1–2 weeks | 2–3 weeks | 3–5 weeks |
| Landlord / building approvals | 1–2 weeks | 2–3 weeks | 2–4 weeks |
| Site execution (civil, MEP, finishes) | 4–6 weeks | 6–10 weeks | 10–16 weeks |
| Testing, snagging, handover | 1 week | 1–2 weeks | 2–3 weeks |
If you run these phases one after another, a 15,000 sq ft office can easily take four to five months from brief to move-in. With overlapping phases and one accountable team, much of the design and approval work happens while long-lead items are being ordered, and site work starts as soon as each package is approved. What actually delays office fit-outs
1. Starting design after lease signing
The rent-free clock usually starts at handover. If design starts the same day, weeks of the free period go on drawings. A test fit plan done during lease negotiation tells you whether the space works and gives the contractor a head start.
2. Building and fire approvals
Most Grade A buildings require the landlord's facility team to approve fit-out drawings, especially for HVAC tie-ins, sprinklers, fire alarm, and any change to the façade or structure. Some projects also need fire department or local authority approvals. Submitting incomplete drawings means repeated comment rounds.
3. Long-lead procurement
HVAC equipment, imported chairs, glass partitions with specific fire or acoustic ratings, and custom joinery can take several weeks. If they are ordered after detailed design is signed off, they set the finish date.
4. Split contracts
When the designer, MEP contractor, civil contractor and furniture vendor are hired separately, every handover between them is a possible delay. Each waits for the previous one to finish, and disputes over who caused a clash eat time. See design and build vs traditional fit-out for the trade-offs.
5. Late changes
Adding cabins, moving the pantry or changing the meeting room count after site work starts means redoing ceilings, electrical points and HVAC zoning. Freeze the layout before execution starts.
6. Building working-hour rules
Many commercial towers limit noisy work, material movement or lift use to nights and weekends. This can stretch the schedule if it is not planned from the start.

What realistic speed looks like
Officea Design & Build has published two project timelines that show what overlapping phases can achieve:
- Gurgaon, 3,000 sq ft: complete design and build, including space planning, civil work and move-in-ready finishing, delivered in 28 days against a quoted 60 days. 3,000 sq ft Gurgaon office in 28 days.
- Noida, 10,000 sq ft: a designer office with full MEP, HVAC, fire detection and suppression and high-end finishes, delivered in 43 days against a quoted 75 days. 10,000 sq ft Noida designer office in 43 days.
In both cases, the speed came from one team owning design and execution decisions, so civil and MEP work started as soon as the design was approved instead of waiting for separate contractors to mobilise. These are actual project results, not a guarantee for every site. Larger floors, heavy approvals or imported finishes will take longer.
A simple plan to finish inside your rent-free period
- Before signing: get a test fit and an indicative budget for the shortlisted space. Check ceiling height, column grid, HVAC capacity and fire systems.
- In the term sheet: negotiate the fit-out period based on a realistic schedule, not a hopeful one. Ask whether CAM charges are waived during fit-out, and whether early access is possible for surveys.
- Week 0–2 after handover: freeze the layout, submit drawings to the landlord and place orders for long-lead items.
- Week 2 onwards: start demolition and civil work on approved areas while MEP drawings finish approval.
- Midway: hold weekly site reviews with a single schedule, and keep a change log with cost and time impact for every change.
- Final two weeks: test HVAC, fire and electrical systems, finish snagging and set up IT before the move.
What a delay costs (illustrative)
Take a 20,000 sq ft office at a rent of ₹100 per sq ft per month. Every month of delay after the rent-free period ends costs about ₹20 lakh in rent, plus maintenance charges, plus the cost of staying in your old premises. The rent here is an illustration, not a market quote, so plug in your own rent and area. For most companies, a well-run fit-out that saves even a few weeks pays for any premium on project management.
For budgeting the fit-out itself, Officea's published 2026 rates are ₹1,800 per sq ft (Basic), ₹2,200 (Medium), ₹2,600 (Good) and ₹4,500 (High end), GST extra. Higher specifications usually involve more imported or custom items, so check their lead times early. You can also try the office fit-out cost calculator.

Frequently asked questions
How long does an office fit-out take in India?
Site work for most offices takes about 6 to 16 weeks depending on size and MEP scope. Design, approvals and procurement can add 4 to 10 weeks before that if run in sequence. Overlapping these phases under one design-and-build contract can shorten the total considerably.
What is a rent-free fit-out period?
It is the time after the landlord hands over the space during which the tenant pays no rent while building the office. In India the length is negotiated per lease. Check whether maintenance charges are also waived during this period.
How can I speed up my office interior project?
Start the test fit before you sign the lease, freeze the layout early, order long-lead items immediately after approval and use a single design-and-build contractor so design, MEP and civil work overlap. Avoid layout changes after site work starts.
Is design and build faster than hiring a separate designer and contractor?
Usually, yes. One accountable team can start site work on approved packages while other drawings are still being finalised, and there are fewer handovers between parties. Officea's published Gurgaon and Noida projects finished well ahead of their quoted timelines using this approach.
What happens if the fit-out runs past the rent-free period?
You start paying rent, and often maintenance charges, on a space you cannot yet use, usually while still paying for your current office. Build a buffer into the schedule and negotiate the fit-out period based on a realistic plan.
Which items have the longest lead times in an office fit-out?
HVAC equipment, imported furniture and seating, fire- or acoustic-rated glass partitions, custom joinery and some specialist lighting usually take the longest. Identify them in the design stage and order them as soon as the specification is approved.
